# Running an export

### Exporting Company Data

A one-time export runs once, right now. You start it from the **Companies** listing, choose a file format, pick how it's delivered, and confirm. The file then appears on the **Activities** tab for you to download.

### How to run an export

1. Open the [**Companies**](/verifiers/listing/companies.md) tab.
2. Apply any filters you need:

   * **Matching status**: Matched or Not Matched
   * **Tags**

   If you do not select a matching status, the export defaults to **All data** (matched and not matched).

   The export includes exactly what is shown in your filtered Companies list.
3. Click **Export** to open the export panel.
4. Choose a file format, or select a saved [**template**](/verifiers/bulk-delivery/export-management/data-templates.md).
   * Saved templates already include a file format, so format options are hidden when using a template.
5. Choose how the file will be delivered:
   * **Direct Download**
   * **Email**
   * **Deliver to a destination** (a saved FTP/SFTP connection)
6. Review the export summary and confirm.
7. You will be taken to the [**Activities**](/verifiers/bulk-delivery/export-management/activities.md) tab, where your export appears as **In Progress**.
8. Once completed, click **Download** on the export row to save your file.

**Tip:** Files are not downloaded automatically. You can access completed exports from the Activities tab whenever you need them, and download the same file again later.

### Choosing a file format

All formats contain the same data; they differ in structure:

* **CSV** (default), a simple table that opens in Excel, Google Sheets, and most tools.
* **JSON**, a structured format used by many applications.
* **JSONL**, like JSON, but one record per line; useful for large data pipelines.
* **XML**, a tagged, structured format used by many enterprise systems.

> **Note:** Excel (`.xlsx`) isn't an export format. Choose **CSV** and open it in Excel or Google Sheets.

### How it's delivered

**Direct Download:** the export runs and the file becomes available on your Activities row with a single click to confirm.

<figure><img src="https://3940159784-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FR6JeqZgLk4bOJJNzWBkI%2Fuploads%2FRx1IJO72E4xFI0xt0rdH%2FScreenshot%202026-07-31%20at%208.10.55%E2%80%AFAM.png?alt=media&amp;token=da68d2f7-659e-41b9-80e5-3fe36956534e" alt="" width="247"><figcaption></figcaption></figure>

**Email**: pick one or more recipients from your organisation. Recipients are checked against your organisation, so anyone outside it is rejected when you add them. The confirm button reads **Send link**. The emailed link **expires after 7 days** — if it lapses, just run the export again.

<figure><img src="https://3940159784-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FR6JeqZgLk4bOJJNzWBkI%2Fuploads%2Ft9vj5vQUY4QRUx8QDnpB%2FScreenshot%202026-07-31%20at%208.12.20%E2%80%AFAM.png?alt=media&amp;token=c52fcde2-b2ad-49c2-842c-cea9b5576930" alt="" width="447"><figcaption></figcaption></figure>

**Deliver to a destination:** send the file to a saved **FTP/SFTP connection**. Pick an existing connection, or select **+ Add FTP/SFTP connection** to create one without leaving the export (the same **Add destination** dialog opens inline, and the connection is saved for reuse). Then confirm with **Deliver**.

### What recipients see

When you deliver by email, each recipient gets a link to a secure download page:

1. They open the link and download the file.
2. After downloading, the page shows a **Downloaded** state, then redirects them onward.
3. The link **expires 7 days** after it was sent, after that it no longer works, and you'll need to run the export again.

### Notifications

You get an in-app notification when your export finishes:

* **Ready to download** — for a Download export: *"Your export is ready to download."*
* **Sent or delivered** — Email: *"Your export was sent to the recipients."* FTP/SFTP: *"Your export was delivered to \[destination]."*
* **Delivery didn't work** — Email: *"Your export couldn't be sent to the recipients."* FTP/SFTP: *"Your export couldn't be delivered to \[destination]."*
* **Failed to generate** — *"Your export failed to generate."*

### What's included in your export

#### Confidential fields

Confidential fields are masked in exports.

For example, if an address is marked confidential:

* The address field is hidden.
* Other non-confidential information in the same record is still included.

Masking applies **per field**, not to the entire record.

Public information, such as certification expiry dates, is not masked.

***

#### Unverified matched data

Matched records that are not yet verified are still included.

For these records:

* Matching status is included.
* Certification fields remain blank until verification is completed.

Unverified matched records are not excluded from exports.

#### Large exports

Large exports run in the background so you do not need to wait for the file to generate.

During processing:

* The export status appears as **In Progress** in Activities.
* You can continue using the platform.

Important:

* Only one export can run at a time.
* You must wait until the current export finishes before starting another.
* You will receive an in-app notification when the export is ready.
* If an export fails, the status changes to **Failed**.

***

### Troubleshooting

#### "0 records" message appears when confirming export

This means your filters did not return any results.

To fix this:

1. Close the export panel.
2. Adjust your filters in the Companies listing.
3. Try exporting again.

***

#### Export opens a paywall instead of the export panel

This means your account does not currently have Export access.

Export is available for:

* **Free Trial users** while their trial is active.
* Paid subscription users.

If your trial has ended:

* Select [**Subscribe Now**](https://www.iafcertsearch.org/membership/plans) to upgrade, or
* Return to the Free plan.
